Finmap Account Balance Doesn’t Match the Bank: How to Find the Fix with Folio
Finmap balance doesn’t match the bank? Folio reconciles your statement with payments, finds duplicates, gaps and wrong amounts, and shows what to fix.
Folio compares your bank statement with the payments in Finmap and shows exactly where the data differs: what is missing, what is extra, and where the balance difference comes from. You don't have to go through hundreds of rows by hand – you get a ready-made list of discrepancies and a plan to fix them.
It's worth running a reconciliation once a month, and also every time the account balance in Finmap doesn't match the bank.
What to prepare before reconciling
A bank statement for the period you need. A statement in XLSX, CSV or PDF format will do. It should include the date, amount and comment, as well as the opening and closing balance for the period (if your bank doesn't provide this, include it in your request to Folio).
One account – one reconciliation. If you have several accounts, reconcile each one separately. This way Folio won't mix up payments from different sources.
The same period. The statement and the payments in Finmap must cover the same dates, for example, Sep 1, 2026 to Sep 30, 2026. Always specify the period you want to reconcile.
How to start a reconciliation
Open the chat with Folio.
Attach the statement file.
Write which Finmap account to reconcile and for what period. For example: “Please reconcile the payments on the Mono White Card account for Sep 1, 2026 – Sep 30, 2026 against the statement and look into the possible reasons for the balance difference”.
Wait for the result. Folio will show a table of discrepancies, a breakdown of the balance difference and a list of suggested fixes.
Folio doesn't change anything in Finmap without your confirmation. First you see what it found, and only then do you decide what to fix. You can ask Folio to make all the changes it suggests, or specify which ones to make.
How to read the reconciliation result
Folio splits all payments into three groups. Below, we use a sample reconciliation to explain what each one means.
Group
What it means
In the example
✅ Exact match
The payment is both in the bank and in Finmap: same date, amount and counterparty
24 payments
❌ Missing in Finmap
The payment is in the statement, but it's not in Finmap or it's recorded differently
4 payments
⚠️ Extra in Finmap
The payment is in Finmap, but it's not in the statement or it doesn't match
2 payments
All the changes Folio points to can be tracked in the History report.
These payments are fine, nothing needs to be done with them. Folio separately marks “charge and cancellation” pairs. For example, a 23,800 UAH charge and its refund add up to 0, so they don't affect the balance. If such a pair is recorded the same way in Finmap, it counts as a match.
❌ Missing in Finmap
The payment is in the bank, but it wasn't found in Finmap. There can be different reasons:
The payment wasn't added. For example, the −500 UAH and −400 UAH expenses weren't synced through the integration or uploaded to Finmap via import, or they were deleted, which you can see in the Activity Log report.
The payment is there, but with a different amount. A terminal deposit is +5,000 UAH in the bank, but +7,000 UAH in Finmap. This means the payment amount on the integrated account was changed.
The payment is there, but with a different date. A −580 UAH expense is dated Sep 30, 2026 in the bank, but Oct 1, 2026 in Finmap. Because of this, it falls out of the September period, but it doesn't affect the actual balance of the account.
⚠️ Extra in Finmap
The payment is in Finmap, but the statement doesn't confirm it. Most often this is:
A duplicate. A +1,000 UAH income is recorded twice: once through the bank sync and once manually. Tip: a synced payment has an integration icon next to it.
A payment from another account or a mistaken one. A −900 UAH expense was added manually, but it's not in the statement. There's no integration icon next to the payment, and you can see it wasn't added on the payment date. Perhaps this amount was paid from another card. In this case, Folio will first ask you where this payment came from, and only then suggest moving it to another account or deleting it.
After the list of discrepancies, Folio compares the opening and closing balances for the period and breaks the difference down into parts.
In the example, the balance on Sep 30, 2026 is 13,091.32 UAH in the bank and 17,729.20 UAH in Finmap. The difference of +4,637.88 UAH breaks down as follows:
Reason
Effect on the Finmap balance
Starting balance of the account: 5,000 UAH in Finmap, 3,942.12 UAH in the bank
+1,057.88 UAH
7,000 UAH instead of 5,000 UAH
+2,000.00 UAH
Duplicate income
+1,000.00 UAH
Two expenses not added (−500 UAH and −400 UAH)
+900.00 UAH
A −580 UAH expense recorded in October instead of September
+580.00 UAH
Extra −900 UAH expense
−900.00 UAH
Total
+4,637.88 UAH
The key check: the sum of all the parts must equal the total difference. If it matches, there are no other reasons for this period. If not, there's another discrepancy somewhere, and it's worth reconciling other periods too.
Please note:
The starting balance often accounts for part of the difference, even though no payment is wrong. It's set in the account settings and must match the bank on the date you started keeping records for this account.
A date shift only affects the balance at the end of the period. In the example, the −580 UAH expense “moved” from September to October, so it doesn't affect the overall current balance.
How to fix discrepancies
At the end of the reconciliation, Folio suggests a list of actions. You can confirm each one separately, so you can approve one and postpone another.
Discrepancy
What to do
Wrong amount
Change the payment amount to the one in the statement.
Duplicate
Delete the extra copy. Keep the one synced through the integration.
Payment missing in Finmap
Create it with the date, amount and description from the statement, or restore it from the Activity Log.
Wrong date
Change the date to the bank date.
Different starting balance
Adjust the starting balance in the account settings.
Extra payment
First find out where it came from. If it's from another account, move it; if it's a mistake, delete it.
After making the fixes, you can run the reconciliation again for the same period. If everything was done correctly, the balances will match, and the “Missing in Finmap” and “Extra in Finmap” lists will be empty.
Recommendations: if there are many payments to reconcile
There's no hard limit on the number of payments, but there is a practical one. Folio loads payments from Finmap by itself, in batches, so their number hardly matters. What sets the limit is the bank statement: Folio processes all its rows at once, and the more there are, the longer the reconciliation takes and the higher the risk of error.
Payments in the statement
How to reconcile
Up to 200–300
In one file, without splitting. For most cards and accounts, a monthly reconciliation is enough
300–500
One file is possible, but the reconciliation will take longer and the risk of error grows. It's better to split it in half
Over 500
Be sure to split it into parts. At this volume, Folio simplifies the search for payments that are split into several parts in Finmap, and some complex cases will have to be checked manually. Folio will warn you about this.
These limits are a guideline, not an exact restriction. If reconciling a large file gave an inaccurate result, split it and reconcile the parts separately.
How to split correctly:
Split by dates, not by the number of rows Each file should cover full days. If you cut a day in the middle, some payments will end up in the “wrong” period and a false discrepancy will appear.
Periods must not overlap or have gaps For example: Sep 1–14, 2026 and Sep 15–30, 2026.
Specify the exact period for each fileIn your message to Folio, write the period for which the payments need to be checked, so it takes exactly those dates from Finmap.
Reconcile the parts one by one and fix them right away The closing balance of one part is the opening balance of the next. Once the first part is reconciled, the next one is easier to check.
Don't mix accounts If the statement contains several cards or currencies, split it into separate files for each account.
What isn't an error
Some discrepancies look suspicious, but everything is actually fine. Before deleting anything, check whether it's one of these cases:
Charge and cancellation. Two payments for the same amount with opposite signs add up to 0. There's no need to delete them.
A payment split into parts. One payment in the bank can be two in Finmap, for example, loan principal and interest. The sum of the parts matches the payment in the bank.
Merged payments. Two or more payments are merged into one, and the amount of this payment equals the sum of all the corresponding payments from the bank statement.
Payments around midnight. The bank may show a payment made at 23:50 with a different date than Finmap due to the time zone or processing time. A one-day difference at the edge of the period is a reason to check the date, not to create a new payment.
If in doubt, tell Folio what exactly concerns you, or contact Finmap support.
