Integrating Odoo and Finmap via Zapier
You can integrate Odoo with Finmap using Zapier without the need for programming. This enables the automatic transfer of financial transactions to Finmap whenever new leads, sales, or other events occur in the system.
What is Odoo?
Odoo is an ERP system for business automation that brings CRM, sales, inventory, manufacturing, finance, projects, HR, eCommerce and other business processes together on a single platform.
With Zapier, Odoo can be integrated with Finmap without any programming. This makes it possible to send financial operations to Finmap automatically when new leads, sales or other events appear in the system.
Note. Two integrations are available in Zapier:
Odoo CRM — supports work with leads only (the New Lead trigger);
Odoo ERP Self Hosted — supports several Odoo modules and is the recommended option for most integration scenarios with Finmap.
What you will need
Before you start, prepare:
a Zapier account (the free plan is enough for most scenarios);
an API Key in Finmap (Profile → API).
Important! Do not delete the generated API Key, or the integration will stop working. If the key is deleted or changed, every configured scenario will stop running.
access to Odoo:
the URL of your system;
the database name (Database);
the user login;
the password or API Key (depending on the authorization method).
How to obtain the details for connecting Odoo — see the official Odoo documentation or contact the administrator of your system.
How Zapier works
Zapier is an automation service that lets you connect different systems to each other without programming.
Any automation (Zap) consists of two parts.
Trigger
The event that starts the automation.
For Odoo this can be:
the creation of a new lead;
the creation of a new deal;
the creation of a new record in a model;
the creation of a new product;
the creation of a new task;
or any other event supported by an Odoo module.
Action
The action Zapier performs once the trigger fires.
For example:
creates income in Finmap;
creates an expense;
creates a transfer between accounts;
updates the directories;
starts another automation.
Once set up, the Zap runs automatically and all new events from Odoo are sent to Finmap without manual data entry.
How the Odoo and Finmap integration works
Once a new event appears in Odoo, Zapier automatically runs the scenario and sends the required data to Finmap.
Most often the integration is used to create the following automatically:
income;
expenses;
expected payments;
transfers between accounts.
As a result, all financial operations reach Finmap automatically, with no duplicated work.
Step-by-step setup
Step 1. Create a new Zap
Log in to Zapier and click Create Zap.
Step 2. Choose Odoo as the Trigger
Find the app:
Odoo ERP Self Hosted
or
Odoo CRM, if you use the CRM module only.
Step 3. Choose the trigger
For Odoo CRM
The available trigger:
New Lead
Starts the automation after a new lead is created.
For Odoo ERP Self Hosted
The available triggers:
New Calendar Event
New Calendar Todo
New Database
New Lead/Opportunity
New Module
New Note
New Product
New Project Task
New Record
New User
Most triggers work on the Polling principle, meaning Zapier checks Odoo for new records periodically.
Step 4. Connect Odoo
Click Sign In.
Enter:
the Odoo URL;
the Database;
the login;
the password or API Key.
Once the connection succeeds, Zapier will verify access to the system.
Step 5. Add Finmap
On the next step, choose the Finmap app.
Depending on your scenario, use one of the actions:
Create Income — creating income;
Create Expense — creating an expense;
Create Transfer — creating a transfer between accounts.
Step 6. Map the fields
Pass the required data to Finmap:
amount;
date;
counterparty;
category;
account;
project;
currency;
comment.
If needed, other fields available in Odoo can be used as well.
Step 7. Test the integration
Run the test.
Make sure the operation was created successfully in Finmap.
Once the test succeeds, click Publish to activate the Zap.
What can be automated
The Odoo integration with Finmap makes it possible to automate the transfer of almost any financial operation between the systems.
The most common scenarios:
Transferring confirmed sales
Trigger
New Record
or
New Lead/Opportunity
Action
Create Income
When to use it
To create income automatically after a sale is confirmed or a deal moves to its final stage.
Creating expected payments
Trigger
New Lead/Opportunity
Action
Create Income
When to use it
If the sale has already been agreed but the money has not arrived yet. This lets you keep a payment calendar in Finmap.
We recommend running the integration after the deal moves to a stage that means payment is expected (for example, Payment Expected, Quotation Accepted or the equivalent in your process), rather than right after the lead is created.
Automatic expense tracking
Trigger
New Record
Action
Create Expense
When to use it
If purchases, expenses or other financial documents are created in Odoo.
Transferring data from custom Odoo models
Trigger
New Record
Action
Create Income or Create Expense
When to use it
If your company uses custom modules or custom business processes.
Automatic tracking of product sales
Trigger
New Product
or
New Record
Action
Create Income
When to use it
If creating a product or making a sale is accompanied by a financial operation that needs to be sent to Finmap automatically.
Recommendations
Send only financially meaningful events to Finmap (confirmed sales, agreed invoices, completed operations), not every CRM record.
Use a unique identifier for the document or the operation to prevent duplicate transactions.
If you need to update the status of payments that have already been created (for example, after the actual payment), build a separate scenario to synchronize the changes.
Integration limitations
The integration works through Polling, so new records may reach Finmap with a small delay.
The set of available triggers depends on the modules installed in your Odoo (CRM, Projects, Calendar, Inventory, eCommerce and so on).
The integration requires access to your Odoo server (URL, Database and credentials).
If the New Record trigger is used, we recommend defining clearly which Odoo model the data will come from, to avoid processing unnecessary records.
If changes to existing records need to be synchronized, a separate scenario in Zapier may be required, since most triggers respond only to the creation of new objects.
